What We Collect
The Birth Companions collects account, profile, scheduling, communication, and care-team information needed to operate the client and doula portals. When a doula connects Google Calendar or Calendly, we store authorization tokens and basic account metadata so the portal can show connection status and support scheduling workflows.
How We Use Information
We use portal data to support doula matching, appointment coordination, calendar visibility, interview scheduling, document workflows, payment workflows, and account administration. Calendar access is used only for the scheduling features a user authorizes.
Marketing Analytics
We use Google Analytics on public marketing pages to understand traffic, page views, and high-level form funnel activity. Google Analytics is not loaded on the client, doula, admin, auth, signing, API, or hidden post-interview form areas of the portal. We do not send names, email addresses, phone numbers, due dates, insurance details, form answers, payment details, contract details, or portal record identifiers to Google Analytics.
Calendar Connections
Doulas connect their own Google Calendar accounts through OAuth. Clients do not connect Google Calendar to TBC. We do not ask for Google passwords. For a connected account, we store the Google account email, encrypted OAuth access and refresh tokens, connection metadata, and the minimum calendar information needed to provide scheduling. For doulas, this includes busy periods used to calculate interview availability. For scheduled interviews, it includes the event reference and meeting-link details needed to display the appointment in the portals.
We use Google Calendar data only to provide the calendar connection, interview availability, event creation, invitation, and meeting-link features a user authorizes. We do not sell Google user data or use it for advertising. The Birth Companions creates the interview event on the connected doula's calendar and invites the parent by email; it does not copy a parent's general calendar into the platform.
Google Calendar Data Protection and Deletion
OAuth tokens are encrypted before storage using AES-256-GCM and are used only by the server-side calendar integration. Access is limited to the services and authorized personnel needed to operate and support the scheduling feature.
We retain connected-account tokens and connection metadata only while the calendar remains connected. A doula can disconnect Google Calendar from Doula Settings at any time. When a doula disconnects, we request revocation from Google and clear the stored tokens, connection timestamp, and calendar sync cursor from the portal record. TBC appointment records may remain only as needed for service, legal, payment, safety, or care-continuity obligations.
Users may also request account deletion through our account deletion page. We verify account ownership before processing a deletion request and delete or de-identify Google connection data when no longer required for the obligations described above.
Sharing
We share information only as needed to operate the portal, support care-team coordination, comply with legal obligations, or work with service providers that help run the application.
Notice of Privacy Practices
This Notice describes how medical and personal information about you may be used and disclosed and how you can access that information. The Birth Companions treats the information you share as protected health information and applies safeguards to its storage, access, and transmission. You have the right to request access to, and corrections of, the information we hold about you.

HIPAA Authorization
By submitting an intake form, you authorize The Birth Companions to use and disclose your protected health information for the purposes of matching you with a doula, scheduling, and coordinating your care. This authorization is voluntary, and you may revoke it in writing at any time except to the extent action has already been taken in reliance on it.
